Head of Contingent

Role Summary:

To lead the Canadian Contingent to the 26th World Scout Jamboree in Poland in 2027, ensuring effective communication and coordination between SC and ASC and the Jamboree Management Team (JMT).

 

Responsibilities

  • Recruit and Lead Contingent Management Team (CMT): Assemble and guide a team responsible for various aspects of the contingent’s preparation and participation.
  • Liaise with Internal and External Partners: Act as the main point of contact between Canada and Jamboree organizers, ensuring seamless information exchange.
  • Support Budget Management: Work with Scouts Canada finance staff to prepare and monitor the contingent’s budget and associated expenditures.
  • Create and Update Job Descriptions: Develop role descriptions for CMT positions as needed.
  • Ensure Safety & Well-being: Work with appropriate NSO staff to ensure appropriate safety and risk management practices are in place.
  • Provide Reports: Regularly update leadership of both NSOs on progress.
  • Coordinate Meetings: Organize and lead virtual meetings for the CMT to ensure alignment and progress.
  • Post-Jamboree Report: Compile and submit a comprehensive report on the contingent’s experience and outcomes to Scouts Canada and l’ASC.

 

Qualifications

  • Organizational Skills: Strong ability to manage multiple tasks and maintain effective organization.
  • Communication Skills: Excellent written and verbal communication abilities.
  • Volunteer Experience: Proven success in working with and leading volunteers.
  • Cultural Familiarity: Knowledge of the destination country or nearby regions is preferred.
  • Youth Leadership: Experience in leading and managing youth in an international setting.
  • Language Skills: Proficiency in French is an asset.
  • Travel Requirements: Valid passport and willingness to travel, including internationally.
  • Technical Skills: Familiarity with Microsoft Office products is an asset.

Note: Occasional travel will be required, including international travel, and flexibility in coordinating across different time zones may be necessary.

Time Commitment

The Head of Contingent (HOC) role is a 3-year appointment, culminating in 3-4 months of post-Jamboree activities to finalize reports and financial documentation. The estimated time commitment is as follows:

  • 2025: Approximately 10 hours per month.
  • 2026: Approximately 15-20 hours per month.
  • 2027: Over 20 hours per month, with increased demands as the Jamboree approaches. This includes significant time on-site during the Jamboree itself.

The role requires flexibility and a commitment to managing the contingent’s preparation, participation, and follow-up activities effectively.
